CONSULBOOKS VS QUICKBOOKS · 2026
ConsulBooks vs QuickBooksA focused bookkeeping workflow—or a full accounting suite?
QuickBooks Online is broad and established. ConsulBooks is deliberately smaller: connect business accounts, organize transactions, review exceptions, and export clean records without configuring an entire accounting platform.

THE 30-SECOND VERDICT
Choose the amount of software your business actually needs.
Choose ConsulBooks when a service business mainly needs dependable transaction bookkeeping and wants a short, guided routine. Choose QuickBooks when invoicing, bill management, payroll, inventory, project accounting, or a large app ecosystem belongs inside the same platform.
SIDE-BY-SIDE
ConsulBooks vs QuickBooks: what is different?
This is a scope comparison, not a claim that two unlike products offer identical features.
| Area | ConsulBooks | QuickBooks |
|---|---|---|
| Current price | Free public preview. Starter is planned at $12/month after billing launches. | QuickBooks Free is $0 with restrictions. Simple Start is $38/month at regular U.S. list price; temporary introductory offers may apply. |
| Primary workflow | Connect → organize → review exceptions → export. Designed for an owner who does not want to live in accounting software. | A broader accounting workspace spanning books, invoicing, bills, payments, reports, tax workflows, and plan-dependent tools. |
| Bank and card data | Plaid connections for selected U.S. institutions, plus CSV import. Planned Starter limit: two institutions and up to 500 transactions per month. | Bank and card feeds are included in Simple Start. The free plan is limited to one banking institution. |
| AI assistance | Private vendor rules first, then conservative suggestions with confidence and a plain-English reason. Uncertain items wait for review. | Intuit Intelligence and multiple AI agents support categorization, cleanup, tax, payments, customers, finance, payroll, and projects; availability varies by plan and some tools are limited or beta. |
| Human control | Low-confidence items stay in a visible queue. Approvals teach a workspace-specific vendor rule. | QuickBooks also provides customer review and control over AI drafts, matches, and suggestions. |
| Users and accountants | One owner workspace today. Dedicated accountant invitations and a multi-client console are in development. | Simple Start includes one user plus two accountant seats. Higher plans add users and capabilities. |
| Reports and books | Balanced journal entries, transaction exports, profit-and-loss reporting, and an audit trail. | Broader accounting reports and plan-dependent business, tax, receivables, payables, inventory, project, and forecasting tools. |
| Security sign-in | Authenticator-based MFA is required before entering the financial workspace or opening Plaid Link. | QuickBooks supports passkeys, authenticator codes, device controls, MFA challenges, and optional always-on two-step verification. |
| Not included today | Payroll, invoicing, bill pay, inventory, multicurrency, project costing, tax filing, and a public accountant console. | QuickBooks offers many of these functions directly or through add-ons and integrations. |
CHOOSE CONSULBOOKS IF
You want focused books with fewer decisions.
- A U.S. service business with a straightforward bank-and-card bookkeeping workflow
- An owner who wants a guided four-step setup and a short exception queue
- A business that values visible confidence, reasons, and a traceable on-screen audit trail
- A team whose main need is transaction bookkeeping rather than an all-in-one back office
CHOOSE QUICKBOOKS IF
You need a broader accounting suite today.
- Businesses that need invoices, bills, payments, payroll, inventory, or project costing now
- Companies that depend on QuickBooks' broad accountant familiarity and integration ecosystem
- Teams that need multiple operational users or advanced permissions
- Owners who want a mature full-suite platform and accept the added scope and configuration
AI is not the difference by itself
QuickBooks already markets extensive AI. The meaningful difference is product shape. ConsulBooks puts transaction decisions into one narrow workflow: rules handle known vendors, the system shows confidence and reasoning, and exceptions wait for the owner.
That focus is useful when a business needs clean books but does not need every finance operation in the same interface. It is not feature parity with QuickBooks, and we say so plainly.
The price comparison needs context
At regular list price, QuickBooks Simple Start is $38 per month. ConsulBooks Starter is planned at $12 per month, but the paid plan is not active yet. During the launch preview, ConsulBooks is free and does not collect a payment method.
QuickBooks now has a restricted free option, so the honest comparison is not “ConsulBooks is always cheaper.” It is that the planned $12 focused plan costs less than QuickBooks Simple Start while offering a narrower set of capabilities.
Security should be compared by controls
QuickBooks publishes mature security and compliance programs. ConsulBooks does not claim to be categorically more secure. Instead, it requires an authenticator code before the financial workspace opens, keeps institution credentials inside Plaid Link, encrypts Plaid access tokens, and verifies signed webhooks before updating connection state.
The right question is whether the controls fit your risk and workflow—not which homepage uses the strongest adjective.
THE CONSULBOOKS WORKFLOW
Four steps, with uncertainty kept visible.
Connect
Link business bank and card accounts through Plaid, or import a CSV.
Organize
Rules and conservative categorization prepare routine transactions.
Review
See the confidence and reason, then answer only the exceptions.
Export
Keep balanced entries, P&L results, transaction files, and an audit trail.
SECURITY-FIRST, SPECIFICALLY
MFA is required before a ConsulBooks financial workspace opens.
Plaid handles institution credentials. ConsulBooks stores encrypted connection tokens, verifies Plaid webhooks, isolates records by workspace, and records important changes. See the exact controls on our security page.
COMMON QUESTIONS
Before you choose.
Can ConsulBooks fully replace QuickBooks today?
Not for every business. ConsulBooks can handle a focused transaction-bookkeeping workflow, balanced entries, review, reports, exports, and audit history. It does not yet provide payroll, invoicing, bill pay, inventory, multicurrency, tax filing, or every report and integration available in QuickBooks.
Does QuickBooks have AI too?
Yes. QuickBooks advertises Intuit Intelligence and plan-dependent AI agents across bookkeeping and other business functions. ConsulBooks differentiates through a smaller review-by-exception workflow, not by pretending QuickBooks lacks AI.
How much could the planned ConsulBooks plan cost compared with Simple Start?
At today's regular U.S. list prices, planned ConsulBooks Starter at $12 per month would be $26 per month, or $312 per year, below QuickBooks Simple Start at $38 per month. QuickBooks promotions and plan details change, and the feature sets are not identical.
Can my accountant work in ConsulBooks?
Transaction and profit-and-loss exports are available now. A dedicated, permissioned accountant console is in development; shared credentials are not an acceptable workaround. Accountants can apply to the Founding Advisor Council.
