CONSULBOOKS VS XERO · 2026

ConsulBooks vs XeroA quiet bookkeeping routine—or a broad accounting platform?

Xero offers a mature accounting suite, unlimited users, extensive bank feeds, and JAX AI. ConsulBooks is built for a narrower job: help a service-business owner connect accounts, settle exceptions, and keep a clean, portable ledger.

THE 30-SECOND VERDICT

Choose the amount of software your business actually needs.

Choose ConsulBooks when one owner wants focused transaction bookkeeping at a planned $12 price. Choose Xero when unlimited users and bank accounts, invoicing, bills, multicurrency, projects, expenses, or a large integration ecosystem matter more than keeping the interface small.

CHOOSE XERO IF

You need a broader accounting suite today.

  • Teams needing unlimited users or a large number of bank accounts
  • Businesses that need invoicing, bills, projects, expenses, multicurrency, or detailed forecasts now
  • Companies that rely on Xero's accountant network or 1,000+ app ecosystem
  • Owners who want a mature full accounting platform and are comfortable with its wider scope

Both products use automation

Xero's JAX story is substantial: it can answer questions, work with Xero data, produce charts, and help complete Xero tasks. Growing and Established also include JAX auto-reconciliation for high-confidence bank lines.

ConsulBooks should not claim that Xero lacks AI. Its difference is a tightly constrained owner experience: a saved rule or suggestion includes its rationale, and uncertain transactions remain in a short queue until a human decides.

Xero offers more scale; ConsulBooks offers less setup

Xero includes unlimited users and says there is no limit on connected bank accounts. That is the better choice for many multi-person finance teams. ConsulBooks Starter is intentionally limited to two institutions and 500 monthly transactions at its planned price.

The narrower scope is the product decision: a small service business should be able to connect accounts, confirm its profile, review a few exceptions, and export without navigating modules it does not use.

Security claims need evidence

Xero publishes independent certifications and audit information, so ConsulBooks does not claim to be universally more secure. ConsulBooks instead publishes the concrete controls it actually operates: required authenticator MFA, Plaid-hosted institution sign-in, application-encrypted connection tokens, verified webhooks, workspace isolation, and an audit trail.

ConsulBooks currently uses authenticator codes, not passkeys. We label the control accurately so businesses and accountants can evaluate it without marketing fog.

THE CONSULBOOKS WORKFLOW

Four steps, with uncertainty kept visible.

1

Connect

Link business bank and card accounts through Plaid, or import a CSV.

2

Organize

Rules and conservative categorization prepare routine transactions.

3

Review

See the confidence and reason, then answer only the exceptions.

4

Export

Keep balanced entries, P&L results, transaction files, and an audit trail.

SECURITY-FIRST, SPECIFICALLY

MFA is required before a ConsulBooks financial workspace opens.

Plaid handles institution credentials. ConsulBooks stores encrypted connection tokens, verifies Plaid webhooks, isolates records by workspace, and records important changes. See the exact controls on our security page.

COMMON QUESTIONS

Before you choose.

Can ConsulBooks fully replace Xero today?

Not for every business. ConsulBooks supports a focused transaction-bookkeeping workflow, but it does not yet offer Xero's unlimited users/accounts, invoicing, bill workflows, multicurrency, projects, expenses, forecasts, or large app ecosystem.

Does Xero have AI bookkeeping?

Yes. Xero markets JAX to all subscribers and includes auto-reconciliation on Growing and Established. ConsulBooks' positioning is a smaller review-by-exception product, not the claim that Xero lacks AI.

Is ConsulBooks cheaper than Xero?

The planned $12 ConsulBooks Starter price is $13 per month below Xero Early's current $25 regular U.S. list price. It is $43 below Xero Growing at $55. These products have different limits and features, Xero has a temporary promotion, and Xero prices are scheduled to increase October 1, 2026.

Does ConsulBooks support unlimited bank accounts?

No. The planned Starter plan supports up to two connected institutions and 500 transactions per month. Xero says it permits unlimited bank accounts. ConsulBooks is intended for smaller, simpler account structures.

SOURCES & METHOD
